SWOT analysis

SWOT analysis is a really helpful tool to assist in collecting together all our internal analysis of strengths and weaknesses and external analysis of our opportunities and threats. For nonprofit events like charity event, we will not have any investors, thus no return of investments to consider. However, we will have to weigh factors such as fundraising, good volunteering staff and goodwill. With this, we'll know every aspect of our SWOT, able to react to the threats, improve on our weaknesses and capitalize our opportunities.

None but not least, Closure

Finally, our project comes to a closure. However, that doesn't mean our job was done. As the project manager, we will still have to hand out tasks to our own department to make sure the closure ends sucessfully. For example, we'll have to clear the crowd out in an orderly fashion so that our audiences can move out of the track stands without any accidents happen. After all the work are done, its time to celebrate our achievements!

Cost Estimation and Tendering part 2

For the second part of this tutorial, we did the cost and benefits summary that's consolidated. By doing this, it will make it more appealing and thus increasing our chances of getting the go-ahead from the management. As shown above, our revenue will be much more than the cost, thus our profit/ROI will be more too. We would not have Break-even however as we're not selling any merchandise; as this is just for charity.

Cost Estimation and Tendering

For this tutorial, we did some cost estimation and tendering for different parts of our project that requires revenue. By doing this, we acheive a better overview of where our money would be used and a more accurate figure of the probable cost.

Time for some scoping!

We'll be putting up photos of the celebrities invited on billboards advertisment.

Estimated duration: Estimated advertising period will take along 2 months, along with the billboards advertising. An event as grand scale as this will spread around fast. Less time means saving money.  The event itself will be 5 hours, from 7pm-12am, and the gates will be open for entry at 4pm.

Estimated cost: Celebrities - S$150K
                          F1 race track - S$70K

                         Other resources(eg. Securities) - S$20kK
                        Advertising - S$30K

Responsibilty matrix: Getting sponsors for the race
                                    Contacting celebrities
                                    Booking of F1 race track
                                   Publicity
                                  Getting hotline for donation calls
                                 Contacting the charity organisations

Current issues: Security issues
                          Celebrities availability
                          Manpower
                         Sponsorship

Manpower requirements: Securities
                                          Professional F1 teams
                                         Paramedics
                                        Volunteering helpers

Resources requirements: Racing cars
                                         Food & Beverages
                                        Hotels for celebrities

To achieve such a grand scale event, we need huge financial backings, resources and manpower. Therefore out estimated cost will be high and the manpower required will be massive.
I feel the scoping is one of the most important step to a successful project, as we need to verify what is need and what is important.
